JOB TITLE: Development Coordinator

REPORTS TO: Development Director

TYPE: Part-Time, Non-Exempt Pay (Up to 20 hrs per week, on-site at RedLine)

PAY: $25-$30 an hour

Benefits include participation in the organization’s 403(b) retirement plan with a 3% company match, paid vacations, sick time, and holidays

SCHEDULE: Tuesday, Wednesday, and Thursday (on-site at RedLine) with variable other hours for public programs, including exhibition openings and all-call events

The Development Coordinator at RedLine Contemporary Art Center will support the Development Director through accurate donor database management, enhancement of the membership program, coordination of donor events, and implementation of effective donor communication.

The Development Coordinator will work closely with the Development Director to ensure the sustainability of the organization through development initiatives and donor cultivation to fulfill our mission through the following high-level responsibilities.

The ideal candidate is detail-oriented and analytical, able to track and evaluate fundraising metrics, donor engagement, and campaign performance to guide strategic decisions. RedLine seeks a proactive self-starter with a positive attitude who brings graciousness, adaptability, and a collaborative approach to a dynamic office environment.

Key areas of responsibility include:

  • Manage the Donor Database (NeonOne) through accurate and up-to-date donor records by regularly managing data entry, tracking contributions, and maintaining CRM integrity.

  • Enhance RedLine’s Membership Program by consistent outreach, engagement, and

    communication to our members and potential members.

  • Coordinate cultivation events through all planning stages of RedLine’s Annual Gala, Fall

    Fundraiser, and donor cultivation events, including marketing, logistics, vendor

    management, reporting impact, and follow-up communication.

  • Support donor communication by creating and distributing engaging content such as

    impact reports/donor newsletters, emails, SMS messages, and videos to keep donors

    informed and engaged.

Donor Database:

  • Develop CRM policies and train staff: Create user manuals, establish best practices, and train staff to ensure efficient and standardized use of the CRM system.

  • Process gift acknowledgments & donor communications: Manage the timely processing of donations, sending personalized thank-you letters, system-generated acknowledgments, and donor updates.

  • Develop and manage CRM workflows & system letters: Create and optimize automated workflows, tokens, and communication templates to streamline donor engagement.

  • Identify and research potential donors: Conduct prospect research to identify new funding opportunities and support donor cultivation strategies.

  • Manage donor stewardship & recognition: Oversee donor cultivation plans, recognition programs, and stewardship initiatives, including donor walls, special events, and website acknowledgments.

Membership:

  • Maintain and update membership databases: Manage data entry, track renewals, and maintain CRM integrity to ensure accurate and up-to-date member records.

  • Manage the membership renewal process: Send timely renewal notices via direct mail, email, and SMS to encourage continued membership and retention.

  • Plan and execute member engagement events: Develop and coordinate exclusive events, programs, and activities to enhance member experience and strengthen community engagement.

  • Track and report membership metrics: Monitor membership growth, retention rates, and engagement levels, generating reports to assess program effectiveness.

  • Enhance member communication & outreach: Develop and implement targeted communications to inform members about museum offerings, benefits, and special opportunities.

  • Support membership acquisition and retention strategies: Assist in developing campaigns and initiatives to attract new members while ensuring existing members remain engaged and valued.

Cultivation Events:

  • Create and manage events in the CRM: Set up and track events within the CRM system, ensuring accurate data entry for registrations, attendance, and donor engagement.

  • Coordinate member & donor event logistics: Oversee all member and donor event logistics, including setup, catering and rentals, and audiovisual needs, to ensure seamless execution.

  • Manage guest lists and attendee experience: Track RSVPs, coordinate special guest accommodations, and ensure a positive and engaging experience for all attendees.

  • Develop event marketing & promotional strategies: Oversee marketing materials and outreach campaigns to maximize event visibility and attendance.

  • Collaborate with stakeholders and vendors: Work closely with internal teams, sponsors, vendors, and partners to execute successful events that align with the museum’s mission.

  • Track and report event performance: Analyze attendance, fundraising outcomes, and overall event success to inform future planning and improvements.

  • Conduct event follow-up: Send thank-you messages, collect feedback, and maintain engagement with attendees, donors, and sponsors to build long-term relationships.

Donor Communications:

  • Personalize and tailor messaging: Ensure donor communications, acknowledgments, and thank you notes are customized to different audience segments, highlighting the impact of their support and fostering long-term relationships.

  • Coordinate with internal teams: Work with development, marketing, and leadership teams to align messaging and ensure consistency across all donor touchpoints.

Administrative Tasks:

  • Work visitor services shift (when needed): Greet and engage visitors in our mission and vision, operate the POS system, process admission, memberships and donations, and resolve visitor issues with professionalism.

  • Track fundraising progress and prepare reports: Monitor donation trends, campaign performance, and membership growth, generating reports for the Development Director and leadership team.

  • Assist with development team projects: Provide administrative and logistical support for fundraising campaigns, special initiatives, and donor engagement efforts.

  • Organize and maintain development records: Manage digital and physical files, ensuring accurate record-keeping of donor data, grant materials, and fundraising documentation.

  • Support compliance and data integrity: Ensure adherence to fundraising policies, donor confidentiality, and best practices in database management.

  • Research potential grant opportunities: Identify and evaluate grant funding sources that align with the museum’s mission and programs.

  • Track and manage grant deadlines and workflows: Maintain a detailed grant calendar, ensuring timely submission of proposals, reports, and compliance documents.

Qualifications:

  • The ideal candidate has a solid background in nonprofit fundraising and development, with experience in donor relations, membership, and database management, as well as proficiency in donor management systems.

  • Additional experience in grant writing, communications, and stakeholder engagement is a bonus.

  • All candidates should have 2-3 years of work experience in nonprofit development or related fields, focusing on building relationships, securing funding, and supporting overall fundraising efforts.

Education:

  • A Bachelor’s Degree in Nonprofit Management, Business, Communications, or a related field, or equivalent experience in fundraising, development, or nonprofit operations.

  • The optimal candidate for this position is someone who is passionate about pursuing a career in fundraising and finds satisfaction in working with database systems to support development operations. They possess excellent communication and interpersonal skills and can write clear, persuasive, and effective communications with donors, members, and stakeholders.

  • Strong organizational and time management abilities are essential, as the candidate will oversee multiple projects and maintain accurate records—including donor information, grants, and event documentation.

  • Proficiency in CRM systems and digital tools is essential, particularly with donor databases such as NeonOne and Cuseum, as well as Microsoft Excel for data analysis.

  • Experience with additional fundraising or project management platforms is a plus.
